The conditions of your private hire operators licence

The page below outlines the conditions of your private hire operators licence.

Please refer to Annexe 5 of our licensing policy for full details.

  • take all reasonable steps when you accept a booking to ensure that a Private Hire Vehicle is present at the particular time and place you agreed with the person booking. If you accept a booking you are by law liable for the hire of a vehicle for the journey whether or not you provide the vehicle

  • keep records of every booking you make or which is passed to you by another operator. Records should include:
    • Date of Booking
    • Time of Booking
    • Place(s) where passengers collected from
    • Place or places where passengers set down
    • PHV licence number of vehicle
    • PHD licence number of driver
    • Fare
    • Meter used (Y/N)

 

  • keep records of every private hire vehicle you operate. Records should include:
    • Private Hire Vehicle licence number
    • Registration Number
    • Make and Model
    • Proprietor of vehicle
    • Council issuing the vehicle licence
    • Date of vehicle licence expiry
    • Remarks

Write to us within 14 days, telling us of any change relating to your current licence. In particular any change :

  • of address
  • in the nature of your business or the structure of the firm, if a partnership
  • any convictions, formal police cautions, motoring offences or endorsements, fixed penalty notices, charge/summons/postal requisition, arrests or interviews under caution and any communication notifying of any alleged offences against the operator or a partner of the operator or a company of which the operator is a director or secretary
  • if you sell or transfer your private hire operators licence to someone else, a new owner must apply to us for a licence.

Make sure:

  • you have public liability insurance for premises that are open to the public
  • that any private hire vehicle and driver working for you are correctly licensed
  • your private hire vehicles do not use use taxi ranks.

Make sure that neither you, or any person working for you, causes or allows someone to believe that a private hire vehicle operated by you is standing or plying for hire in a street.

Do not include the words 'taxi' or 'cab' in any advertising, stationery, or business name, whether or not they form part of another word, unless you hold a hackney carriage licence with us.
